Writing an Equipment User Requirement Specification for Dental Materials Production
An equipment URS translates the product and process into testable requirements before quotations and machine comparisons begin.

State the material family, batch range, viscosity or powder behavior, container type, fill range and production environment. Avoid requesting a generic mixer or filler without defining what it must handle. The URS should describe the required result rather than copying one supplier’s brochure.
Identify required contact materials, surface condition, seals, hoses, cleaning access and change-part control. Compatibility must be reviewed for the exact formulation and cleaning method. Product-contact design affects contamination control, recoverable yield and repeatability.
List adjustable parameters, alarms, interlocks, access levels, calibration points and the production information that must be recorded. Decide whether records are manual, electronic or both. The chosen approach should fit the site’s quality system and data-control capability.
Document room dimensions, door access, floor loading, utilities, extraction, compressed air and operator access. A machine that meets output requirements can still fail the project if it cannot be installed, cleaned or serviced in the available space.
Translate each critical requirement into a document review, inspection or test for factory and site acceptance. Define test materials, containers, speeds and tolerances in advance. Acceptance is stronger when the buyer and supplier agree how performance will be demonstrated.
Give the URS a revision and approval history. Record accepted deviations and link them to the quotation and final design. This creates a stable baseline for commissioning, training, maintenance and later change control.
