A Better RFQ for Dental Materials: What to Send Your Manufacturer

Use the catalogue entry, product name and intended presentation. When several items share a category or similar name, include the catalogue page and collection. A third-party brand name can help explain the category but does not establish equivalence.

State the volume and supply model

Indicate whether the quantity is kilograms, litres or filled units. Separate initial evaluation quantities from your forecast for repeat supply. Specify bulk, unlabelled, private label or technology transfer so the quotation covers the right work.

Describe the packaging

Include the fill quantity, container type, dispensing format, cap or applicator and outer packaging requirement. If you already have a component or artwork specification, identify its revision and whether it is approved.

Explain the target market

Name the destination country and the organization responsible for market release. List the product documents and language versions required by your team. Do not assume that a catalogue or a comparable product’s documentation answers these questions.

Agree evaluation and approval

Define how samples will be reviewed, who approves the specification and what must be complete before commercial supply. This gives both parties a practical basis for discussing schedule, quotation and next actions.

Implementation framework

Questions to take into your next meeting

  • What exact product, presentation and project phase are we discussing?
  • Which responsibilities belong to the manufacturer, brand owner and local market organization?
  • What evidence is required before evaluation, scale-up and commercial release?
  • Which assumptions still need a product-specific or market-specific decision?
